Engineer/Humanities Visa Renewal Strategy

How job changes, promotions, secondments, and side jobs affect renewal and countermeasures

While the renewal of an Engineer/Humanities visa tends to be perceived as less strict than the initial application, caution is needed when events such as job changes, employment type changes, or secondments have occurred. The renewal review also checks legal compliance during the period of stay (taxes, health insurance, side jobs, etc.).

Who this is for: Foreign nationals with Engineer/Humanities/International Services status approaching visa renewal. Especially those who have experienced events like job changes, secondments, or starting side jobs.

Case-by-Case Review Points & Strategies

Case 1: Continuous Renewal at the Same Company

Low Risk

Situation

Renewing with the same company and job type as the initial application, without any changes

Strategy

Basically, just gathering an employment certificate, updated employment contract, pay slips (3 months), withholding tax slip, and municipal tax certificate is sufficient. If job duties have changed significantly since the last application, attach a reason for the change.

Key Point: Renewal applications can be filed from 3 months before the expiry. Recommend applying at least 2 months before expiry. You can legally remain after expiry while the application is pending (special grace period), but apply early to avoid workplace concerns.

Case 2: Renewal After Job Change (Missing Notification or New Job Type)

Moderate

Situation

Changed jobs on Engineer/Humanities status without submitting the notification, or the new job type may fall outside the original visa's activity scope

Strategy

① Submit the job change notification (notification regarding affiliated organization, etc.) promptly (within 14 days of changing jobs is mandatory). ② Confirm the new job falls within Engineer/Humanities activities. ③ Explain the background and reason for the job change in a statement of reasons at renewal. ④ If the job type change is significant, consider a status change application (different Engineer/Humanities activity → Business Manager, etc.).

Key Point: Failure to submit the job change notification is subject to penalties (fine of up to ¥200,000). Discovery at renewal is disadvantageous in the review. Submit the notification promptly when the job change is decided.

Common Mistakes & Pitfalls

1

Unpaid taxes (resident tax, income tax) or health insurance premiums affect the renewal review. Before applying for renewal, obtain a 'tax payment certificate' from your local municipality and confirm there are no unpaid amounts.
